Guidelines for re-keying property/unit

The key change process begins when a lock box is placed at a turnover location. If the Pre-TOC is scheduled within 30 days of move out, a lock box will be placed during the time of the Pre-TOC. However, if the Pre-TOC is before the 30-day window, the placing of the lock box will be done at the Post TOC.

1) Confirm lock box number

• The Project Manager will enter lock box numbers and codes into each applicable turn over task, including rekey.

2) Deliver lock box with keys to property/unit

• As stated above, if the Pre-TOC is within 30 days of the tenant moving out, you will need to pick up the lock box from the client before heading out to do the Pre-TOC.
• If the Pre-TOC is scheduled farther out than 30 days, the tech performing the Post TOC will need to pick up the lock box from the client and place it at the property.

3) RP changes lock/keys

• RP will change the lock and make new key copies (Do NOT recycle minute keys. Use a new blank)
• There must be three key copies made. (Two keys will go to the client and one for the tenant.)
• Dispose of all old keys so they do not get mixed up with the new keys

4) Return lock box to client

• During the MIC, the tech will need to remove the lock box and return it with the keys to the client.
