Create CoCo expense categories for Training
As expenses are reviewed it's important to classify expenses in the right categories
Inventory - All items purchased for inventory. This is recorded under the Internal customer, you may need to make a job to record this if there isn't an internal job already open. This means the item WILL BE BILLED OUT, and recorded as inventory with the quantity as a purchase order. ONLY SUPERVISORS CAN PURCHASE INVENTORY (OR APPROVE IT)
Fuel/Gas - This is recorded under the Internal customer when you fill up your fleet vehicle except if you are purchasing gas for a job (such as gas for a chain saw, or propane for a heater), it should be billed to the job as Job Supplies & Materials and billed to the actual Job/Customer.
Reimbursable Cash Purchase - Other - This is recorded under the Internal customer when you use your own cash to purchase something and need reimbursement on your pay stub. This MAY be a billable to a customer if it is purchased directly for a JOB.
Small Tools and Equipment - This is recorded under the Internal customer when you have to buy a tool that is not related to a job, and is NOT inventory. For example a drill because one died, or was stolen. These are limited to $100 unless done by a supervisor.
Office expenses and supplies - This isn't used, unless it's something for the office at this shop, such as paper.
Paint/ Paint Supplies - This is recorded under the Internal customer when buying inventory for general paint inventory. These items should be billed out from inventory to the correct job when a paint job is invoiced (such as gallons of paint used).
These are the categories that are used for jobs billed to a customer. These are not for internal or inventory use.
Job Supplies & Materials - All items you bought for this job, and will be used for this job. This includes small tools you need for this job in particular, or general items such as consumables (screws, paper, caulking etc). Our goal is to have MOST expenses in this category. You should rarely if ever use this for an INTERNAL job.
Appliances - All applicants purchase for a job. This is NOT an inventory category. If you purchase 5 microwaves for inventory, it would be classified as Inventory, not this category.
