Recurring
Dispatch Position task
Dispatch Position task
Follow the same process for creating any other task except, when you get to the Current Status, Scheduling, and Assigned Techs sections:
Since this is a recurring task, you will need to select Recurring for the Current Status:
Next, select the first starting date from the calendar icon:
The start and end times depend on the frequency of the task. If it is a monthly task, there is no need to put a start and end time as the task can be done at any time during the month. If it is a weekly or daily task but it can happen within normal business hours of the day, set the start time at 8am and the end time at 5pm. If it is for a specific time each day, set the start and end times for those.
Once you have set the start and end times, you will need to click on the box underneath that says Repeat This Job. This will take you to the screen where you can set the frequency of the task:
You will need to select whether it is Daily, Weekly, Monthly, or Yearly. Then click on Indefinitely and uncheck the two boxes at the bottom of the screen. On the right, it will generate a summary of when this task is scheduled to occur so you can double check you have set it right: You can now click the Save button.
Next you will need to select which tech this job is meant for from the drop down menu under Assigned Techs. Once all parts have been filled out, you can now click on the Save Job button at the top or bottom of the screen to create the job. A fully filled out recurring task will look as follows:
You can edit most information in a recurring task except the date/time/frequency. You cannot edit dates on recurring tasks. They must be cancelled and a new recurring task created with the new date. Since the system creates all the jobs at the beginning of the month, when cancelled, you must select that the action be applied to All Future Jobs or you end up with duplicates. This means that all the jobs for the month that are on the wrong day are cancelled. You cannot delete the recurring task because it would affect previously invoiced tasks for that recurring task. You can now create the new recurring task with the new date/time/frequency information.
